Email Assistant is a new Citai module that generates professional email replies using your knowledge base content. Paste the received email, select the relevant KB, and get a grounded response in seconds.
Smart pre-analysis
Before generating, click "Analyze email". Citai extracts each question as a separate topic, searches the KB, and shows you coverage: covered (>50%), partial (35-50%), or not found (<35%). It also suggests optimized instructions and an appropriate tone. Pre-analysis is free (no AI query consumed).
4 tones for every situation
- Professional: polite and approachable for commercial inquiries
- Friendly: warm and empathetic for known clients
- Formal: institutional for legal or serious complaints
- Concise: direct, max 3 paragraphs for simple requests
Embedded images
Source images (diagrams, screenshots, tables) appear in a gallery with checkboxes. Select which to include and they get embedded as base64 in HTML when copying. Paste in Gmail or Outlook and images appear inline.
Full history
Every generated email is saved automatically with all context. Search by text, filter by date, and reuse previous responses from the history drawer.
Use case: travel agency
A travel agency with KBs containing packages, pricing, and policies. A client asks about the El Chalten trekking package. Email Assistant analyzes the email, verifies KB coverage, generates a professional response with prices and hotel options, and includes a trail map extracted from the PDF. 2 minutes vs 15 minutes of manual search.
External tools: real-time data
Email Assistant can execute external tools configured in your KBs. When you select a KB with associated tools, they appear automatically. The LLM detects when it needs real-time data and executes up to 3 tools before generating the response.
Example: your tourism KB has a "check_availability" tool that calls your booking system. A client asks "is there availability for 4 people in March?". Email Assistant runs the tool, gets live availability, and generates the response with current data.
